Raytheon Technologies Sr Coord, Admin in Goleta, California
Raytheon Vision Systems (RVS), located in Goleta, CA, is seeking a proven, high performing administrative professional to fill a key Senior Administrative Coordinator role. The opportunity will primarily support the RVS General Manager, but also provide support to other members of the RVS Leadership Team.
In this dynamic and fast-paced role you will partner and collaborate with other Administrative Assistants, business leaders, and stakeholders to execute business priorities in a proactive manner. The ability to build relationships, exercise good judgement and work across the Raytheon matrix is critical. The successful candidate will demonstrate an understanding of how the Senior Administrative Coordinator role can support business operations performance.
The successful candidate will support all daily business administrative and coordination responsibilities, including supporting the preparation of presentations and reports, arranging meetings, tracking expenses and arranging travel, management of calendar, interfacing with external customers, coordinating coverage for Administrative staff within the RVS Space Products team, and performing special assignments as required. The individual will manage communications (telephone, email, instant messaging, etc.) and perform other administrative tasks as necessary to promote effective and efficient operation of the department. This role may coordinate some administrate activities across the RVS administrative pool. The most qualified candidate must have the ability to understand the workflow of the organization and add value by being able to prioritize meeting requests and respond to phone calls on behalf of the Space Products Director, and others supported.
Attend calls and meetings; capture actions and maintain action list to ensure follow up.
Coordinate materials prior to meetings and ensure pre-briefs are set up prior to, when appropriate
Proactively identify ways to enable greater productivity and efficiency in role
Accurately generate charts, tables, emails, reports, correspondence and other materials in a timely manner
Coordinate travel arrangements and prepare expense reports
Coordinate employee engagement meetings
Establish follow-up system to ensure deadlines are met
Coordinate monthly reports
Establish detailed knowledge of the Raytheon Vision Systems Space Products Team members and locations
Ability to work overtime as required
Demonstrated proficiency with Microsoft office suite tools (MS Outlook, MS Word, Power Point, Excel)
Experience with calendar management, meeting scheduling and coordination, planning events, expense reports, and data reports
Experience in planning and coordinating complex travel
Possess professional presence and phone/reception skills
Demonstrated excellent verbal and written communications skills
Professionalism, discretion and sensitivity
Basic proof reading and summarizing monthly reports and meeting minutes
Ability to work proactively, anticipating needs and suggesting assistance to improve executives’ productivity.
Ability to obtain TS/SCI
•Demonstrated experience with handling confidential and non-routine information
•Demonstrated experience interacting with senior levels of leadership effectively
•Demonstrated experience handling multiple tasks concurrently, prioritizing work, and making quick decisions in a fast-paced environment
Required Education (including Major):
AA/AS degree (or equivalent)
