This role is a full-time indirect administrative position reporting to the AST Director of Engineering. In this position you will support the Engineering Center Leadership Team (ECLT) comprising of department managers, chief engineers & operations manager; as well as provide support to the Center’s engineering staff. As a member of the ECLT you will help foster a collaborative work environment while balancing the needs of internal staff & external business partners. You will work autonomously but coordinate your efforts in a way that provides the most effective operation of the Engineering Center overall. Your excellent judgment, thorough communications skills, organized & proactive approach to tasks with an ability to multitask, & discretion when interacting with others & in managing information will facilitate your results in this role.

In this role your primary responsibilities will include the following:

• Function effectively with minimal supervision in order to prioritize & accomplish multiple, time-constrained tasks in a dynamic & enthusiastic environment

• Care for the calendar of the Director & chief engineers - coordinating with stakeholders, resolving conflicts, scheduling Center meetings & events, & ensuring effective time administration

• Compile a weekly report of relevant activities & information from inputs provided by members of the ECLT

• Coordinate travel arrangements & complete expense reports

• Assist with the preparation of internal organization reports & presentations, & provide high quality, accurate work products on or before requested need date

• Synthesize information to create meaningful & effective documents, spreadsheets, & presentations using the appropriate MS Office resources, with attention to detail & skilled spelling & grammar

• Guide the flow of information within the EC & archive critical documents & records generated by EC staff members

• Organize, plan, & run large EC or site level events as well as smaller meetings that include an agenda with multiple participants & food service

• Support the EC Operations Manager as needed in coordinating Center staffing processes

• Work with other administrative support staff both inside the EC & with other AST organizations to ensure the smooth operation of office processes

• Maintain a extensive job aid that documents task implementation processes for all significant efforts within the scope of this role

• Maintain & facilitate compliance with EC office processes

• Help identify & diagnose support problems or inefficiencies within the Engineering Center & implement changes to continuously improve operations

• Interface & communicate with all levels of the organization in a professional manner

• Provide effective support to EC staff members, staff from other AST or Raytheon organizations, external customers, & job applicants through reliable, fast, & accurate problem resolution

• Respond to general internal business inquiries & requests by providing excellent customer service, while maintaining composure & escalating as appropriate

• Proactively define personal goals & seek to continuously improve job knowledge & performance of support functions

As the lead administrative specialist for the Engineering Center you will help the ECLT maintain AST’s high level of focus on customer mission results, & support our work ethic to maintain vibrancy in AST’s products & engineering capabilities as we continue to demonstrate thought motivation for the Intelligence Community.

Required Skills:

• 8 or more years of relevant administrative experience

• Attention to detail & ability to work with minimal supervision

• Experienced skills in the Microsoft Office Tool Suite (Word, Excel, PowerPoint, Outlook, Teams)

• Experience managing executive level schedules

• Excellent written & oral communications skills with the ability to interact with all levels

• Ability to anticipate needs, be proactive in resolving difficulties, & respond effectively & with good judgment to non-routine requests or situations

Experience planning & organizing large events and multi-tasking•

• US Citizenship

Desired Skills:

• Experience working with remote / geographically dispersed employees, teams, & managers

• Experience with Zoom remote meeting instruments

• Working knowledge of file sharing or wiki information

Required Education: Associate of Arts or Science degree from an accredited college or university

Desired Education: Bachelor’s degree from an accredited college or university and continuing education in administration, business, business infrastructure or similar
