    Summary of Role:

    This is an extremely busy role supporting at leadership level where no day will be the same; working predominantly for the Engineering Leadership Team managing diary & travel, organising site events, booking hotels for conferences and courses and supporting projects. You will have high energy, be skilled at multi-tasking, flexible and used to hands on hard work. You will be the centre point for your function; communicating key messages, bridging the gap between teams and creating an inclusive friendly culture to work in. This role reports to the Head of Performance Excellence for Engineering.

    Main Duties:

  • Diary management: proactively organising a complex busy diary where meetings change constantly and need to be aligned with various business partners across multiple geographies & time zones, need to embrace last minute changes with minimise fuss so the Leadership Team can remain focused on the job in hand.

  • Demonstrate strong support for wider Eng Admin Support – share best practices, embrace new innovative ideas, encourage clear communications across sites/functions, provide holiday cover and work as one team.

  • Inbox management: check LT members emails, proactively responding to queries on their behalf, flagging urgent emails, chasing actions/follow ups, pre-empting meetings to organise, ensuring delegated meetings are followed through with latest telecons/gate packs.

  • Organising offsite meetings/conferences such as EMLP: sourcing new venues, hotels, restaurants, travel, creation of agendas, packs, and sharing of information.

  • Support to projects with specific administrative tasks including the compilation of data, tracking of equipment and recording of activities.

  • General office duties: ordering stationery/housekeeping, catering, site access requests, invoice processing, telephone support, post.

  • Maintaining New starter/Capability packs: Keeping central documents up to date

  • Travel: book travel, cars, hotels, parking, arrange agendas, organise visas, whilst always adhering to policies and procedures, share key travel info with Admin team.

  • Finances: create and submit expenses in a timely manner, manage approval process (signing ARs, reviewing expenses), check for policy exceptions, process invoices (raising PRs, POs etc).

  • Candidate Requirements:

  • Experienced in complex diary management.

  • Excellent communication and organisational skills.

  • Advanced user of; Microsoft Word, PowerPoint, Excel, Lotus Notes (email and diary management), Outlook, Concur, iPhones, iPads, Telecons, VTCs, Sharepoint.

  • Able to handle multiple tasks.

  • Ability to manage a diverse busy workload.

  • Proactive and self-motivated.

  • Positive can-do attitude, pragmatic approach.

  • Strong integrity and confidentiality.

  • Professionalism and composure.

  • Personable to all levels of seniority, and readily offer support to peers and colleagues.
